We are currently recruiting for Administrative Clerks to work on contract within the federal government.

Requirements
• English Essential
• Secret security clearance
• Logging in and out all correspondence using the Ministerial Executive Correspondence System (MECS) on behalf of the International Affairs Directorate.
• Coordinates and actions, to Divisional EAs, all inquiries, Action Requests, and correspondence from stakeholders (e.g. other foreign countries, non-governmental organizations, etc.) and logs into MECS when appropriate.
• Disseminates and distributes correspondence via courier, fax and e-mail to IAD Divisional EAs and to ADMO.
• Reviews and edits documents/dockets/correspondence for accuracy and submits to DG for approval.
• Finalizes, by proofreading, by making minor editorial changes as indicated by Minister’s office or editor, by photocopying, formatting and distributing, correspondence (which can include Briefing Notes, 48-Hour Requests, Memoranda, letters) signed by the Assistant Deputy Minister or routed for the signature of the Deputy Minister or Minister.
• Provides advice to Division EAs and Directorate employees, either verbally or electronically, on the policies and procedures as they relate to the preparation and processing of ministerial and general office correspondence.
• In collaboration with Division EAs, monitors documents by tracking/using the electronic BF system currently in place, requests for other documents and deadline dates.
• Organizes and maintains an extensive filing system (PA’s and BF’s) which contains confidential files, Cabinet Documents, and signed and draft copies of incoming and outgoing ministerial/DM/ADM correspondence and conducts research into requests for previous correspondence.
• Acts as backup to the Executive Assistant of the Director General to perform essential tasks to maintain the DG’s office and is responsible for planning and processing travel arrangements and claims for domestic and international travel for the DG.
• If time allows, provides administrative support to IAD’s Policy, Planning and Integration Division and across the Directorate as required (e.g. additional support for travel claims and hospitality).
