| Executive Assistant to the CEO The Executive Assistant provides superior administrative support to the CEO. This individual will be responsible for the smooth operation of the office and acts as the first-point-of-contact to individuals both internally and externally. Acting with a high degree of independence, the Executive Assistant prepares and coordinates correspondence, agendas and reports that are highly confidential and sensitive in nature and manages the CEO’s calendar and travel arrangements. When required, the successful individual will provide professional support to other executives and consultants as well as providing back-up support to other Administrative staff. Responsibilities • Provide day to day administrative support to the CEO and peripheral support to other executives in the office. Duties will include: Maintaining an extremely busy calendar Coordinating meetings and conference calls Coordinating travel – air/hotel/car Administer corporate Expense programs Assist in on-boarding new employees Proactively preparing meeting materials – PowerPoint, Word & Excel documents Preparing client documents and client correspondence Preparing timesheets and reconciling expenses Some assistance with personal matters • Provide general administrative support to other consultants in our office • Assist on special projects, as required • Act as back-up for other administrative staff during vacations • Handle other administrative office duties Qualifications • Minimum 5 years experience supporting a “C” level Executive in an administrative/professional support function • Thrives in a fast-paced environment with multiple demands and an ever changing schedule • Ability to organize a large amount of complex business information and develop it into cohesive, professional reports and presentations. • Ability to recognize and respond to business related issues within the scope of the material • Detail oriented, extremely well organized, and able to manage time and multi-task to accomplish a multitude of tasks, with conflicting priorities and timelines. • Very proficient administrative skills and ability to coach and mentor more junior staff • Advanced Level PC skills (Lotus Notes, MS Office: Excel, Word, PowerPoint) • Advanced communication skills, both written and verbal • Ability to deal with internal and external clients in a professional and courteous manner, and to develop and leverage professional working relationships • Ability to work independently and with little supervision. • Ability to deal with confidential and sensitive materials and information in an appropriate manner.
